Purpose: This guide helps new employees understand and complete their onboarding journey, from Day 1 through Day 90. It also helps managers and HR administrators support the process.

Overview

Onboarding is your guided pathway to becoming fully productive at NorthSight Recovery. The system tracks your progress across six key areas: Tasks, Credentials, Benefits, Tax & Payroll, Skills, and Job Description acknowledgment. Your progress is consolidated into a single dashboard showing overall completion percentage and timeline milestones.

Prerequisites

Permissions Required

To access the onboarding system, you need:

Note: Contact your HR administrator if you don’t have access to the onboarding hub.

Before You Begin

  • You have received your offer acceptance confirmation
  • You have your hire date and start date
  • You know your organization, department, and manager
  • You have the required documents ready (licenses, certifications, etc.)

Getting Started

Accessing Your Onboarding Hub

For New Employees:
  1. Log in to your account
  2. Navigate to HR in the main menu
  3. Click My Onboarding (or Onboarding Hub)
  4. Your onboarding dashboard displays with progress summary
For Managers:
  1. Log in to your account
  2. Navigate to HRAdminOnboarding Command Center
  3. View the status grid of all team members’ onboarding progress
  4. Use quick actions to send reminders or reassign tasks
For HR Administrators:
  1. Log in with HR Admin credentials
  2. Navigate to HRSettingsOnboarding Configuration
  3. Manage templates, configure auto-creation settings, and monitor organization-wide progress

Understanding Your Dashboard

Your onboarding hub displays:

Core Sections

1. Your Tasks (Onboarding Checklist)

What it is: A structured checklist of activities you need to complete during your first 90 days. Status indicators:
  • Completed – Task finished
  • In Progress – Task started
  • ⚠️ Overdue – Task past due date
  • Pending – Not yet started
  • Skipped – Not applicable to your role

Getting Started with Tasks

  1. Click the Your Tasks section on your dashboard
  2. Tasks are organized by category (IT Setup, Compliance, Department-Specific, etc.)
  3. Focus on “Your Tasks” first – these are individual activities you must complete
  4. Then coordinate with your manager for team-related activities

Completing a Task

  1. Click the task to view details
  2. Follow the step-by-step instructions provided
  3. Mark as complete when finished
  4. Your progress updates automatically
Tips:
  • Start with tasks marked “Required” and “Day 1” tasks first
  • Check deadlines to avoid overdue items
  • Ask your manager for clarification on any unclear tasks

2. Professional Credentials

What it is: Upload and track your professional licenses and certifications required for your role. Status indicators:
  • 📋 Submitted – Uploaded and waiting for verification
  • Verified – Approved by HR
  • ⚠️ Expiring Soon – Expires within 30 days
  • Expired – Past expiration date

Uploading Credentials

  1. Go to Professional Credentials section
  2. Click Upload Credential
  3. Select credential type (License, Certification, etc.)
  4. Upload document image or PDF
  5. Enter expiration date if applicable
  6. Submit
Requirements:
  • Clear, legible copies (front and back if needed)
  • PDF, JPG, or PNG formats
  • File size under 10MB
  • All required credentials must be submitted before patient contact

Credential Verification

HR will review your uploads and mark them as verified. You’ll receive a notification when verification is complete. If there’s an issue, HR will contact you for clarification. Note: Credentials that expire soon will generate reminders. Set your own calendar reminders for renewal dates.

3. Benefits Enrollment

What it is: Review and select from available health, retirement, and wellness benefits. Status indicators:
  • 📅 Enrollment Open – Available to enroll
  • Pending Election – You started but didn’t complete
  • Enrolled – Successfully enrolled in plan
  • ⚠️ Deadline Approaching – Enrollment closes soon
  • Enrollment Closed – Deadline passed (can’t enroll outside open periods)

Reviewing Available Plans

  1. Go to Benefits Enrollment section
  2. Browse available plan types:
    • Medical insurance
    • Dental insurance
    • Vision insurance
    • 401(k) retirement
    • FSA/HSA accounts
    • Wellness programs
  3. Click each plan to see details:
    • Coverage details
    • Premium costs
    • Deductibles and copays
    • Effective dates

Making Your Elections

  1. For each plan type, choose to Enroll or Decline
  2. If enrolling, select your coverage level (employee only, family, etc.)
  3. Review your selections
  4. Click Confirm Elections
  5. Confirmation is sent to your email
Important Notes:
  • Enrollment deadlines vary – don’t wait until the last day
  • Changes outside open enrollment only allowed for qualifying life events
  • Federal tax withholding (Section 125) applies to pre-tax elections
  • Once confirmed, you can’t change until next open enrollment

Deadline Management

The system displays:
  • Days until enrollment deadline
  • Recommended next action
  • Link to benefits documentation
Set a calendar reminder for the deadline date to ensure you don’t miss it.

4. Tax & Payroll Setup

What it is: Complete federal tax forms (W-4) and set up direct deposit for paychecks. Status indicators:
  • Not Started – Form not yet completed
  • In Progress – Partially completed
  • Completed – Form submitted and processed
  • ⚠️ Pending – Awaiting HR review

Completing Your W-4 Form

The W-4 determines how much income tax is withheld from your paycheck.
  1. Go to Tax & Payroll section
  2. Click Start W-4 Form
  3. Follow the step-by-step wizard:
    • Personal information (name, SSN, address)
    • Filing status (single, married, etc.)
    • Job information
    • Deductions and credits
    • Other income
  4. Review your estimated withholding
  5. Submit
Tips:
  • Answer honestly to ensure correct withholding
  • Use the IRS withholding estimator if unsure
  • You can update your W-4 anytime circumstances change
  • New employees should prioritize this before first paycheck

Setting Up Direct Deposit

Direct deposit gets you paid faster and is more secure than checks.
  1. In Tax & Payroll, click Set Up Direct Deposit
  2. Provide your bank information:
    • Bank name and routing number
    • Account number
    • Account type (checking/savings)
  3. Verify your banking details
  4. Submit
Security: All banking information is encrypted and stored securely. Only HR payroll staff can access it.

State-Specific Forms (if applicable)

Additional forms may be required depending on your work location:
  • Arizona (A-4) – Additional state withholding form
  • Other state-specific requirements
Complete these when prompted by the system.

5. Skills Assessment

What it is: Self-assess your competency across key job skills; your manager will verify these during onboarding. Status indicators:
  • Pending – Awaiting your self-assessment
  • Self-Assessed – Submitted, awaiting manager verification
  • ✔️ Verified – Manager has confirmed your skill level
  • 📊 Full Assessment – All required skills assessed and verified

Completing Your Self-Assessment

  1. Go to Skills Assessment section
  2. Review the list of required and optional skills for your role
  3. For each skill, rate yourself:
    • Novice – Just learning
    • Intermediate – Comfortable with guidance
    • Advanced – Can do independently
    • Expert – Can teach others
  4. Provide brief comments (optional)
  5. Submit
Honesty Matters: Your manager isn’t looking for perfection. They want to understand your starting level so they can provide appropriate training and mentoring.

Manager Verification

After submission, your manager will:
  1. Review your self-assessment
  2. Verify or adjust your ratings based on conversations
  3. Provide feedback on development areas
  4. Create coaching plan if needed

6. Job Description Acknowledgment

What it is: Review and acknowledge that you understand your job description and responsibilities. Status indicators:
  • 📄 Pending – Awaiting your acknowledgment
  • Acknowledged – You have reviewed and signed

Reviewing Your Job Description

  1. Go to Job Description section
  2. Review the complete job description including:
    • Position title and level
    • Key responsibilities
    • Required qualifications
    • Reporting structure
    • Performance expectations
  3. Ask your manager questions if anything is unclear

Acknowledging the Job Description

  1. Click I Acknowledge
  2. Confirm you have reviewed and understand the job description
  3. Your signature and acknowledgment date are recorded
This acknowledgment is used for compliance and is a record that you received and understood your role.

Timeline & Milestones

Your onboarding timeline has key milestones:

Day 1: Your First Day

  • IT setup and access provisioned
  • Meet with HR and your manager
  • Complete initial paperwork
  • Tour and orientation
Your tasks: Complete “Day 1 Tasks” section

Week 1 (Day 7)

  • First check-in with manager
  • Complete first week priorities
  • Get familiar with systems and team
Your tasks: Check “Week 1” tasks in your checklist

30-Day Milestone

  • First formal check-in meeting with your manager
  • Review progress across all sections
  • Discuss early wins and any obstacles
  • Plan for next 30 days
Action: Schedule this meeting with your manager if not already scheduled

60-Day Milestone

  • Mid-point assessment
  • Evaluate skill development
  • Adjust support as needed
  • Prepare for final review
Action: Manager will follow up to schedule this check-in

90-Day Milestone

  • Final onboarding review
  • Decision to complete onboarding
  • Transition to standard employment status
  • Discuss performance and career path
Action: HR and manager will coordinate timing

Tracking Your Progress

Overall Progress Score

Your overall progress is calculated as a weighted average:

Example: If you’ve completed 80% of checklist tasks (24/30), 100% of credentials (5/5), but haven’t done benefits yet, your overall progress would be approximately 45%.

What “At Risk” Means

You’re marked “At Risk” if you’re more than 5 days into your hire and have less than 50% completion. This triggers:
  • Manager notification
  • HR follow-up
  • Additional support offered
This isn’t a penalty – it’s a prompt to help you catch up.

Notification System

You’ll receive notifications for:
  • Task deadlines approaching
  • Overdue items
  • Benefits enrollment closing soon
  • Manager actions (reminders, feedback)
  • Milestone dates approaching
Check your notifications regularly and enable email alerts in settings.

Common Scenarios & Solutions

Scenario 1: “I Can’t Find a Specific Document”

What to do:
  1. Check the document requirements in that section
  2. Use the help icon (?) next to each section for more guidance
  3. If it’s truly unavailable, contact your manager or HR
  4. Some items can be marked “Not Applicable” if legitimate

Scenario 2: “My Deadline Passed but Section Isn’t Complete”

What to do:
  1. Complete the section immediately – overdue items need attention
  2. Notify your manager and HR of the delay
  3. Provide a timeline for completion if needed
  4. Some deadlines are firm (tax forms before first paycheck)
  5. Others may be extended with approval

Scenario 3: “I Disagree with My Manager’s Skill Verification”

What to do:
  1. Ask your manager to discuss the feedback
  2. Share specific examples of your capabilities
  3. Work together to agree on accurate rating
  4. Use this as a learning opportunity
  5. Ratings can be adjusted if there’s a valid reason

Scenario 4: “Benefits Enrollment is Confusing”

What to do:
  1. Read the plan details carefully
  2. Use the benefits summary sheets (in documentation)
  3. Contact HR Benefits team for questions
  4. Don’t delay – enroll even if you’re uncertain, you can change during open enrollment
  5. Ask HR for a benefits consultation call if needed

Scenario 5: “I’m Moving Through Onboarding Faster Than Expected”

What to do:
  1. Pace yourself – don’t rush through assessments
  2. Ensure quality (especially skills assessment – be honest)
  3. Complete optional enrichment activities
  4. Use extra time to build relationships with team
  5. Prepare questions for your 30-day check-in

  • Don’t submit incomplete credentials – Verification takes time; submit early
  • Don’t ignore deadline reminders – These are friendly nudges, not spam
  • Don’t hesitate to follow up – If your manager hasn’t checked in, schedule it
  • Don’t assume anything – Ask if you’re unsure about policies or procedures
  • Don’t wait until Day 90 – Regular check-ins throughout are more effective

Troubleshooting

Common Issues

Issue: Task Won’t Mark as Complete

Symptoms:
  • Button is grayed out or unresponsive
  • “Mark Complete” button doesn’t work
Cause:
  • Subtasks remain incomplete
  • Uploaded documents pending approval
  • Permission issue with the task
  • Browser cache issue
Solution:
  1. Check if all subtasks are complete
  2. If documents uploaded, wait for HR review
  3. Refresh the page (Ctrl+R or Cmd+R)
  4. Try a different browser
  5. Contact HR if still stuck

Issue: Can’t Upload Credential Document

Symptoms:
  • Upload button not responding
  • File rejected after upload
  • Error message about file format
Cause:
  • File size exceeds limit (>10MB)
  • File format not supported (need PDF, JPG, or PNG)
  • Browser permissions issue
  • Temporary service issue
Solution:
  1. Check file size and format
  2. Compress image if needed (use online tool if helpful)
  3. Try different browser
  4. Clear browser cache
  5. Contact HR with the document and error message

Issue: Benefits Plan Details Aren’t Clear

Symptoms:
  • Confusing plan comparison
  • Unclear what’s covered
  • Don’t know which option to choose
Cause:
  • Plans are genuinely complex
  • Missing summary documents
  • Need personalized guidance
Solution:
  1. Review plan summary sheets (link in section)
  2. Compare deductible, premium, and copay side-by-side
  3. Use the benefits estimator tool (if available)
  4. Schedule a call with HR Benefits team
  5. Ask current employees about their experiences

Issue: Direct Deposit Not Processing

Symptoms:
  • First paycheck by check, not direct deposit
  • Banking information disappeared
Cause:
  • Bank rejection (incorrect routing number)
  • Too late to process for current pay period
  • Requires re-submission
Solution:
  1. Verify routing and account number with your bank
  2. Check the status in Payroll section
  3. Resubmit if needed
  4. Next paycheck should process to account
  5. Contact HR if issue persists past 2 pay periods

  4. Schedule HR office hours – Many HR teams have open drop-in times
  5. Check related documentation – Links provided in each section

Admin & Manager Resources

For Managers: Supporting Your Team’s Onboarding

Your responsibilities:
  • Schedule 30/60/90 check-in meetings
  • Verify skills assessments
  • Provide feedback on progress
  • Escalate issues to HR if employee falls behind
  • Support document completion (credentials, etc.)
Quick actions available:
  • Send reminder notifications
  • Extend task deadlines
  • Mark items complete if appropriate
  • View detailed progress reports
