Module: GR-03 Compliance Tracking

Overview
This guide covers how to configure and manage regulatory compliance tracking, including managing regulatory bodies and requirements, performing compliance checks, collecting evidence, and tracking remediations.
Required Role: Compliance Officer or Organization Admin
Initial Setup
- Navigate to GR → Settings
- Configure Compliance Tracking settings:
- Enable/disable compliance reminders
- Set default check reminder days (30, 14, 7 before due)
- Set remediation reminder frequency
- Save your settings
2. Set Up Regulatory Bodies
Before adding requirements, define the regulatory bodies your organization must comply with:
- Navigate to GR → Compliance → Requirements
- Click Manage Regulatory Bodies
- Add relevant bodies (e.g., CARF, State Licensing, OSHA)
- Include contact information and website for reference
3. Import or Create Requirements
Add regulatory requirements:
- Manual entry: Create requirements one by one
- Bulk import: Import from a CSV template (coming soon)
- Templates: Use industry-standard requirement templates (coming soon)
Managing Regulatory Bodies
Creating a Regulatory Body
- Navigate to GR → Compliance → Requirements
- Click Manage Regulatory Bodies → Add Body
- Fill in required information:
- Name: Official name (e.g., “CARF International”)
- Abbreviation: Short code (e.g., “CARF”)
- Type: Federal, State, Accreditation, Internal
- Website: Reference URL
- Contact Info: Email or phone
- Click Save

Managing Requirements
Creating a Requirement
- Navigate to GR → Compliance → Requirements
- Click New Requirement
- Complete the form:

Creating a Compliance Check
- Navigate to GR → Compliance → Requirements
- Select the requirement to check
- Click Record Check or use the quick action menu
- Complete the check form:

Best Practices for Compliance Checks
- Document everything: Add detailed notes for each check
- Link evidence: Attach proof of compliance
- Be consistent: Use same criteria across checks
- Follow up promptly: Create remediations immediately for gaps
- Verify evidence validity: Check expiration dates
Collecting and Managing Evidence
Types of Evidence

Linking Evidence to Requirements
- Open the requirement detail page
- Go to the Evidence tab
- Click Link Evidence
- Select evidence type and choose items:
- Policy: Search and select from approved policies
- Training: Select training course completions
- Document: Upload or select existing document
- Add notes explaining relevance
- Click Link
Evidence Management Tips
- Maintain current evidence: Remove expired or outdated items
- Cross-link where appropriate: One policy may satisfy multiple requirements
- Track expiration dates: Set reminders for expiring certifications
- Use descriptive notes: Explain how evidence satisfies the requirement
When a compliance check identifies a gap:
- From the check result, click Create Remediation
- Or navigate to GR → Compliance → Remediation → New
- Complete the form:

- Click Create
Open → In Progress → Resolved → Verified → Closed
↓
Escalated (if past due)
- Navigate to GR → Compliance → Remediation
- View all active remediations
- Filter by status, priority, or assignee
- Click on a remediation to update:
- Add progress notes
- Update status
- Attach evidence of resolution
- Request verification
- Open the remediation
- Update status to Resolved
- Add resolution notes explaining what was done
- Attach evidence if applicable
- Request verification from compliance officer
Verifying Resolution
- Review the resolution notes and evidence
- Confirm the issue is fully addressed
- Update status to Verified
- The requirement will update to show compliance
- Close the remediation
Using the Compliance Dashboard

Generating Reports
- Navigate to GR → Compliance
- Click Reports or the export icon
- Select report type
- Choose filters (date range, body, category)
